Who we are (data controller)
The data controller for the vibez platform is Cloudworkz [confirm registered legal entity name before launch]. When you use vibez, Cloudworkz determines how and why your personal data is processed.

What we collect
We collect the following personal data when you create an account:
- Email address (required) — used to identify your account and communicate with you.
- Name (optional) — if you choose to provide it.
- School association — which school community you joined.
- Your support record — that you have joined the community for your school and, optionally, whether you indicated current PTA membership.
We do not collect data about pupils. This platform is for parents and guardians only.
Why we collect it (purpose)
We use your data to run the parent community for your school on the vibez platform — specifically, to maintain a record of families who share the two asks (adopt VBE; run the PTA openly) and to operate your account.
Lawful basis
Our lawful basis for processing your personal data is consent. You give consent when you tick "I agree to the Terms and Privacy Policy" and create your account. You can withdraw consent at any time by requesting account deletion (see below).
Who we share your data with
We share your data only with the service providers we use to operate the platform: hosting, transactional email, and — for safeguarding-related features (the pupil wellbeing diary and school compliance-document review) — Anthropic, whose AI models help identify content that may need adult attention. These processors act under data-processing agreements and may not use your data for their own purposes.
We never sell your data or use it for advertising.
How long we keep your data
We keep your data for as long as your account is active. When you request account deletion, we remove your personal data within 30 days, except where we are required to retain it for a shorter period by law.
Your rights
Under applicable data-protection law (including UK GDPR and EU GDPR where relevant), you have the right to:
- Access — request a copy of the personal data we hold about you.
- Correct — ask us to correct inaccurate data.
- Delete — ask us to erase your personal data ("right to be forgotten").
- Withdraw consent — at any time, without affecting the lawfulness of processing before withdrawal.
- Complain — lodge a complaint with your relevant data-protection authority (e.g. the ICO in the UK, or your national supervisory authority in the EU).
A note about pupils
vibez records the parents and guardians who join a school's community. We do not collect, store, or process any data about pupils.
